Online booking system for a small business: what it does and how to choose one
An online booking system lets customers see your free times and book on their own, at any hour, without a call or a chat. It keeps one calendar for your team, confirms each booking, reminds the customer and stops two people taking the same slot. Choose one by how your business really takes bookings.
Booklaa is one of these systems, and the checks below work for any of them.
What an online booking system does
You may also see it called appointment scheduling software, an appointment booking system or online appointment scheduling. For a small business they mean much the same thing. "Cloud-based" only means it runs online, so you sign in from a phone or laptop and install nothing.
Some tools with those names are built for one person's meetings: someone picks a slot for a call and it lands in a calendar. A booking system for a business also knows your services, how long each one takes, who can do it and how the customer pays. A salon, clinic or restaurant needs that second kind.
How an online booking system works
- You add your services or menu, your prices, your team or tables, and your opening hours.
- You share the link to your booking page, in your Instagram bio, your WhatsApp messages, your website or on a card at the counter.
- A customer opens the link and picks a service, a person and a time. Only free times appear.
- The customer gets a confirmation, with a link to move or cancel.
- A reminder goes out the day before.
- The booking appears on your calendar, and that time is gone for everyone else.
When a small business needs one
You probably need one if this sounds familiar. You're still answering "any slot on Saturday?" long after closing. Two staff have promised the same time. A regular forgot and nobody reminded her. The diary sits in one person's bag, so nobody else can check it. In the week before Chinese New Year, you spend more time on your phone than with customers.
If you work alone and a few regulars book weeks ahead, a paper diary may still do. The pressure usually starts when a second person takes bookings, or when many enquiries arrive after you close.
What you need from one, and how Booklaa does it
| What you need | How Booklaa does it |
|---|---|
| A page to send people to | Your own page with photos, a description, services or menu with prices and durations, your team, opening hours and a map. It goes live after Booklaa has checked it, and you can share its link anywhere. |
| Easy booking for customers | No account needed: a name and an email or mobile number, then a service, a team member or anyone free, and a time. |
| A say in what gets booked | Confirm every booking at once, or accept or decline each request. |
| Your own rules | How often start times are offered, how much notice a booking needs, how far ahead customers can book, extra time after a service, and a policy shown before the customer confirms. |
| One view of the day | One calendar by day and by week, with the team member or table named on each booking. Drag a booking to a new time, or add a phone or walk-in booking by hand. |
| Fewer forgotten visits | Booking details by email or text message, and a reminder the day before by both. |
| Easy changes | A link for the customer to cancel or move the booking, up to a cut-off you set. |
| Knowing your customers | A record of each one: contact details, past bookings, spending, cancellations and no-shows. |
| Payment that suits you | At your venue, or online by card or PayNow once your business is verified for online payments. You can ask for a deposit, which the customer sees before booking and you collect. At the counter, an Android app takes a card tap, shows a PayNow QR code or works with a card terminal. |
It works for services at your place, at the customer's address or online, for table reservations with party sizes and seating areas, and for classes with a number of places. If you work alone, set yourself up as the only team member and add people as you grow. Customers can also find you on Booklaa, where they search by what they need and see open times beside each result.
How to choose an online booking system
Run these checks on your shortlist before you commit to anything:
- Book yourself. Use your own phone, on mobile data, the way a stranger would. If it annoys you, it will annoy your customers.
- See that it fits how you sell. Appointments with a named person, tables, classes and home visits all work differently, so ask to see yours.
- Count what a customer has to do. Every account, app download or extra form loses some people.
- Add a booking by hand. Phone and walk-in customers must go on the same calendar, or double bookings come back.
- Ask how reminders go out, by email, text message or chat, and whether any of them cost extra.
- Decide what happens when someone cancels late. Some systems charge a card. Others, Booklaa among them, show your policy and leave the decision with you.
- Ask what it connects to, if that matters to you: your own calendar, your till or your accounts. Booklaa keeps its own calendar and gives customers an add-to-calendar link.
- Ask who can see your customers' details, and whether you can take them with you if you leave. Names and mobile numbers are personal data under Singapore's Personal Data Protection Act.
- Let the person who answers your phone try it. They will find the problems first.
What the cost depends on
Prices change, so work out a full year at your busiest, and ask about each of these:
- A charge per team member or per location.
- A cut of bookings that come through the provider's own marketplace.
- Fees on online payments, and charges for text messages.
- Extras sold separately, such as deposits or reports.
- The limits on a free plan, which usually caps bookings, staff or features. Check what happens when you reach them.
Switching without losing a booking
Write down your services, durations, prices and staff days first. Then copy every future booking into the new calendar by hand before you tell anyone. Keep answering the phone as usual, and start sending the link. If most of your bookings come through chat, the guide to WhatsApp appointment booking has wording you can copy.
To try all this with your own services, list your business on Booklaa.
Questions
Is there a free online booking system?
Yes, several providers have free plans, but they usually cap bookings, staff or features. Text messages and online payment fees often cost extra. Check what you would pay in a busy month before you rely on one.
How do I create a booking system online?
You don't need to build one. Sign up with a provider, add your services, team and opening hours, then publish your booking page and share its link.
What are some good apps for booking and scheduling appointments?
It depends on what you sell. A meeting scheduler suits one person taking calls, while a salon, clinic or restaurant needs one that knows services, staff or tables. Book yourself on each one you're considering, and work out its cost over a year.
Do customers need an account or an app to book?
It varies by system. On Booklaa, customers book without an account, using a name and an email or mobile number.
Will an online booking system stop no-shows?
It won't stop all of them. A reminder, an easy way to move the booking and a clear policy shown before the customer confirms all help. On Booklaa, you can mark a no-show, and it shows on that customer's record.
